Terms & Conditions

These terms explain how bookings with Luxury Yorkshire Chauffeurs are arranged, confirmed, changed and cancelled. Please read them before confirming your transport.

By confirming a booking with Luxury Yorkshire Chauffeurs, you agree to these Terms and Conditions. Your individual booking confirmation, including the agreed vehicle, date, collection details, destinations, timings and price, forms part of the agreement between you and us.

About Us

Luxury Yorkshire Chauffeurs is based in Leeds and provides pre arranged chauffeur transport for weddings and funerals across Yorkshire and selected areas of Greater Manchester.

References in these terms to “we”, “us” or “our” mean Luxury Yorkshire Chauffeurs. References to “you”, “your” or “customer” mean the person making the booking.

Making a Booking

An enquiry does not guarantee availability. A booking is only confirmed once we have accepted the required journey details and confirmed the arrangements with you.

Required collection and arrival times
Number of passengers
Preferred vehicle, where applicable

You are responsible for checking your booking confirmation and informing us promptly if any information is incorrect.

Prices and Payment

The price quoted will be based on the journey details supplied at the time of the quotation, including the date, locations, timings, vehicle and requirements of the booking.

Any deposit, advance payment, balance due date or other payment arrangement will be explained before the booking is confirmed.

If the customer later requests additional journeys, collection locations, waiting time or material changes to the agreed arrangements, an additional charge may apply. Any additional charge will be discussed where reasonably possible before the additional service is provided.

Deposits

We may ask for a deposit or advance payment to secure a vehicle and reserve availability for your date.

If you cancel, the amount retained from any deposit or advance payment will be reasonable and will reflect losses or costs arising from the cancellation, including where relevant the loss of an opportunity to accept another booking.

Deposits and advance payments are not treated as automatically non refundable in every circumstance. Any deduction following cancellation will depend on the circumstances and our reasonable losses.

Customer Cancellations

If you need to cancel your booking, please contact us as soon as reasonably possible.

Where a cancellation causes us a financial loss, including costs already incurred or the loss of another booking which we could reasonably have accepted, we may retain or request a reasonable amount to reflect that loss.

We will take reasonable steps to reduce our loss, including attempting to reallocate the vehicle where practical.

Changes to Your Booking

Please tell us as early as possible if you wish to change any part of your booking.

Changes are subject to availability and may affect the price. This includes changes to the date, journey times, collection locations, destinations, passenger numbers or requested vehicle.

A requested change is not confirmed until we have accepted it.

Timings and Punctuality

We plan bookings using the information provided by the customer and will make reasonable efforts to arrive at the agreed collection time.

Customers should allow appropriate time when arranging ceremony, service, venue and other important arrival times.

We cannot guarantee a precise journey duration where delays result from circumstances outside our reasonable control, including traffic congestion, road closures, accidents, weather conditions or emergency restrictions.

Waiting Time and Delays

We understand that wedding and funeral timings can sometimes change on the day and reasonable flexibility will be provided where possible.

Where waiting time becomes substantially longer than the arrangements originally agreed, an additional charge may apply, particularly where it affects later commitments or requires the chauffeur and vehicle to remain available for a significantly extended period.

Where practical, we will explain any additional charge before it is incurred.

Vehicles

Where a specific Bentley or Rolls Royce vehicle has been confirmed, we will make reasonable efforts to provide that vehicle.

Very occasionally, a vehicle may become unavailable because of mechanical failure, accident, safety concerns or another circumstance beyond our reasonable control.

Where this happens, we will contact you as soon as reasonably possible and seek an appropriate solution. Depending on the circumstances, this may include offering an alternative suitable vehicle, agreeing another arrangement or refunding the affected service.

Passenger Numbers

The customer must provide accurate passenger numbers when making the booking.

The number of passengers travelling must not exceed the safe and lawful seating capacity of the vehicle.

If passenger numbers change, please tell us before the booking so that we can confirm whether the selected vehicle remains suitable.

Children and Child Seats

Please tell us in advance if children will be travelling and provide their ages where relevant to the arrangements.

Responsibility for providing any child seat or specialist restraint will be agreed before the booking. Customers should not assume a particular child seat will be available unless we have specifically confirmed this.

Passenger Conduct

Passengers must behave in a reasonable manner and must not place the chauffeur, vehicle, passengers or other road users at risk.

Smoking and vaping are not permitted inside our vehicles.

We may refuse to continue a journey where a passenger behaves violently, abusively or in a way that creates a genuine safety risk.

Damage and Cleaning

Customers are responsible for taking reasonable care while using the vehicle.

If a passenger causes avoidable damage or exceptional soiling which requires specialist cleaning or repair, the person making the booking may be asked to reimburse the reasonable cost directly resulting from that damage or cleaning.

Normal use of the vehicle will not result in a cleaning charge.

Personal Belongings

Customers are responsible for their personal possessions before, during and after the journey.

If an item is found in the vehicle, we will make reasonable efforts to identify the owner and arrange its return.

Any reasonable delivery, postage or additional journey cost required to return an item may be payable by the customer.

Circumstances Outside Our Control

Events can occur which neither the customer nor Luxury Yorkshire Chauffeurs could reasonably prevent.

Severe weather
Serious road accidents or closures
Emergency restrictions
Unexpected vehicle breakdown
Events affecting road access or safety

Where such circumstances affect a booking, we will take reasonable steps to reduce disruption and keep the customer informed.

If We Need to Cancel

We will not cancel a confirmed booking without a genuine reason.

If we are unable to provide the agreed service, we will contact you as soon as reasonably possible and seek an appropriate solution.

Where we cancel and no suitable alternative is agreed, payments made for the service we cannot provide will be refunded as appropriate.

Our Responsibility

We will provide our service with reasonable care and skill and in accordance with the arrangements agreed with you.

Nothing in these Terms and Conditions is intended to exclude or restrict any legal rights or responsibilities which cannot lawfully be excluded or restricted.

Your statutory consumer rights are not affected by these Terms and Conditions.

Photographs and Publicity

We will not assume that a customer's wedding, funeral, passengers or private event may be used for promotional purposes simply because we provided the transport.

Where identifiable customers or private event details are involved, appropriate permission will be obtained before photographs or material are used for our marketing.

Privacy

Information provided when making an enquiry or booking will be used to communicate with you and arrange the requested service.

Personal information will be handled in accordance with applicable data protection requirements and our Privacy Policy.

Complaints

If you are unhappy with any aspect of our service, please contact us as soon as reasonably possible so that we have an opportunity to understand and address the issue.

Please provide your name, booking date and enough information for us to identify the booking and investigate your concerns.

Changes to These Terms

We may update these Terms and Conditions from time to time to reflect changes to our service, business practices or legal requirements.

The terms applicable to a confirmed booking will normally be those made available to you when the booking was agreed, unless a change is required by law or you agree otherwise.

Governing Law

These Terms and Conditions are governed by the laws applicable in England and Wales.

Nothing in this section removes any mandatory rights a consumer may have regarding where legal proceedings may be brought.
